Steps
Enter employer details
Enter your company name, address, company registration number, and payroll reference. These appear at the top of the payslip and identify the employer.
Enter employee details
Enter the employee's name, employee ID/payroll number, job title, and National Insurance / tax ID number. Include bank account details if the payslip will serve as a remittance advice.
Enter pay period and gross pay
Set the pay period (weekly, bi-weekly, monthly), payment date, and gross pay components: basic salary, overtime, commission, bonuses, and any other earnings.
Enter deductions
Add all deductions: income tax withholding, National Insurance / Social Security contributions, pension contributions (employee and employer), student loan deductions, and any other statutory or voluntary deductions. The tool calculates the net pay automatically.
Download and issue
Download the payslip as a PDF and issue it to the employee. In the UK, employers are legally required to provide payslips to all employees on or before their pay date. Keep a copy for payroll records.
What a Payslip Must Show
A statutory payslip must include: gross earnings (all pay before deductions), fixed deductions (the same every pay period, like pension contributions — can be shown as a single total with a separate statement of deductions), variable deductions (items that change, like income tax and NI — must each be listed separately), net pay (the amount paid to the employee), and for hourly workers, the number of hours worked where pay varies by hours. Optionally, good payslips also show: year-to-date earnings and deductions (useful for employee tax planning), employer pension contribution (shows total pension contribution, not just the employee portion), payment method, and the pay period dates.
